Sherburn High School

Sherburn High School is a mixed comprehensive school in Sherburn in Elmet on the West Yorkshire/North Yorkshire border with around 750 pupils. Business Manager, Jill Pounder was looking to change print and copy provider and had been speaking with Arena for several months. “I was fully aware that we could save money on our photocopying, you just never have the time. The photocopying machines were coming up for renewal so I had to look for a new print solution”.

Following the framework

Jill spoke with several suppliers including Arena to help prepare the quotation document; “We needed to know what was out there to put a quotation tender document together for the North Yorkshire Suppliers’ Framework. Nick Payne, the account manager worked with us, introducing us to print control and follow me print, showing how durable and simple the new Multi-Function Devices are these days.”

Communication was key; “Through the tender process Arena was always willing to help, spending the time to get it right. You communicate well and you care, you either sorted things quickly or were open and called to let us know why you were struggling and when it would be done.”

If she had gone through NYCC procurement for the tender, Arena wouldn’t have been included, but the previous help and advice had left an impression. Jill explains; “Because Nick had been so helpful and co-operative, with North Yorkshire Procurement’s help and approval, I amended the framework slightly to open it up for Arena.” Sherburn now has the best of both worlds, “We have the costs and SLAs of the framework but the quality of care and service from a local supplier”

The framework’s terms were important to Jill; “The prices were vastly cheaper than those we were paying at the time. We split the scoring process based on 60% price and 40% quality – not just the machine, but also the overall response to the quotation process in terms of co-operation and communication”

Delivering quality service

Arena promised exceptional service and this starts right from the delivery. “The team did an excellent job. I love the fact that even though the printers were delivered to the depot late, they were only in Garforth so everything was dealt with quickly. They collected them that night and delivered the following morning so they still arrived on time”

The quality service continued with the install team; “I was very impressed with the knowledge of your technical guys. They had the right approach, spoke my language and understood exactly what I was wanting even though I couldn’t explain it in technical terms.”

Richard Webb ensured Arena did exactly as promised; “I was apprehensive that you couldn’t deliver on your promises but I felt that Richard knew what we needed and had it covered. His catchphrase was; “I will be on site, I will sort it.” That was enough for me. As long as he was on site I felt that he could deal with any installation and set-up problem. He’s not quite superman but I can’t praise him enough.”

The team has continued to impress Jill; “Arena is a one stop shop. We call if there is a problem with the machine or the software, Arena identifies the problem and solves it without argument. When we call to request any changes, the answer has always been yes.”

Costs and controls

While it is too soon to measure, Jill is confident that the cost savings will be realised; “Arena has far exceeded our expectations; we are paying less now for more machines and there have been many positive comments about how robust they are.”

Releasing documents at the device has reduced waste; “At most photocopiers and printers, I used to remove a pile of paper an inch thick that had been printed in error. You don’t see that anymore. We just can’t believe that these cards to release the print are so easy.”

The staff also understand the impact of their printing, helping to further reduce costs; “It now tells me the cost. I have cancelled larger documents because of this. Defaulting to black and white is great, creating rules but having the flexibility to change them when we need to. We were really strict with the controls to begin with and then slowly relaxed them until we got it just right.”
